Description
Compose letters in reply to requests for merchandise, damage claims, credit and other information, delinquent accounts, incorrect billings, or unsatisfactory services. Duties may include gathering data to formulate reply and typing correspondence.
Experience
Some previous work-related skill, knowledge, or experience may be helpful in these occupations, but usually is not needed. For example, a drywall installer might benefit from experience installing drywall, but an inexperienced person could still learn to be an installer with little difficulty.
Education
These occupations usually require a high school diploma and may require some vocational training or job-related course work. In some cases, an associate's or bachelor's degree could be needed.
Training
Employees in these occupations need anywhere from a few months to one year of working with experienced employees.
Tasks
- Gathers data to formulate reply.
- Reviews records pertinent to resolution of problem for completeness and accuracy and attaches records to correspondence for reply by others.
- Maintains files and control records to show status of action in processing correspondence.
- Confers with company personnel regarding feasibility of complying with writer's request.
- Routes correspondence to other departments for reply.
- Reads incoming correspondence to ascertain nature of writer's concern and determine disposition of correspondence.
- Completes form letters in response to request or problem identified by correspondence.
- Composes letter in response to request or problem identified by correspondence.
- Types acknowledgment letter to person sending correspondence.
- Compiles data from records to prepare periodic reports.
- Processes orders for goods requested in correspondence.
- Compiles data pertinent to manufacture of special products for customers.
- Investigates discrepancies in reports and records and confers with personnel in affected departments to ensure accuracy and compliance with procedures.
